Privacy policy
Your full-size photos and the master copy of your records are stored in your own Google Drive. Our server keeps your account, a working copy of your records, small thumbnails and a search index so the app is fast. To read a photo, it is sent to Google’s Gemini AI. We do not sell your data, show ads, or use tracking cookies.
Who we are
WhatsWhere (whatswhere.ai) is an app for knowing where your things are. It is run by the WhatsWhere team in India. Contact us at contact@whatswhere.ai.
What we collect, and why
Your account
- From Google sign-in: your name, email address and profile picture — to identify you and to show who recorded what.
- Membership: which Spaces you belong to and your role (owner, can record, look only), and invitation links you create or use.
- Google Drive permission (Space owners only): a token that lets the app write to a folder it creates in your Drive. It is stored encrypted on our server and used only for that.
Your content
- Photos you take in the app. Full-size photos are stored only in the Space owner’s Google Drive.
- Records — the names of things, boxes, locations, rooms, cupboards and drawers, tags, and the history of where each thing has been. The master copy is saved to the owner’s Google Drive; our server keeps a working copy so the app responds quickly.
- Thumbnails and a search index — small versions of your photos, and numerical representations of their descriptions used for search. These are kept on our server and backed up to the owner’s Drive. They can be rebuilt from what is in Drive.
Questions you ask
When you use Find, the text of your question is sent to our server and to Google’s Gemini AI to answer it. Our server logs the question with your account and the time, for troubleshooting; logs are rotated and not kept in your records. Voice questions are turned into text on your phone; we never receive audio.
Technical data
Our server records standard request logs (IP address, time, page or action, browser) to keep the service running and secure.
Google services we use
- Google sign-in to identify you.
- Google Drive, with the
drive.filepermission: the app can open only files and folders it created. It cannot see the rest of your Drive. - Gemini API to read photos (list what is in them, read box numbers and labels, find shelves and drawers) and to answer questions. Photos and questions are processed under Google’s API terms.
WhatsWhere’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
What we don’t do
- We don’t sell or rent your data.
- We don’t show ads or use advertising or analytics trackers.
- We don’t use your photos or records to train our own AI models.
Who can see your things
Only you and the people you invite to your Space. Invited members see the Space’s records and photos; members with “look only” cannot change anything. Everything is written to the Space owner’s Google Drive — members do not give the app access to their own Drive.
Where it is stored
Our server is hosted with DigitalOcean in India. Google Drive and the Gemini API are operated by Google, and may process data outside India.
How long we keep it, and deleting it
- Deleting a photo or a box in the app deletes its files from Google Drive and its thumbnails and index entries from our server.
- Deleting the Space’s folder in your Google Drive deletes your master copy and photos there.
- To delete your account and everything our server holds for your Space, email contact@whatswhere.ai from your account’s address. We do it within 30 days and confirm by email.
- You can revoke the app’s access to your Google account at any time from your Google Account settings → Security → Third-party connections.
Your rights
Under India’s Digital Personal Data Protection Act, 2023 you can ask to access, correct or erase your personal data, and to nominate someone to act for you. Write to contact@whatswhere.ai; we reply within 30 days. If you are not satisfied, you may complain to the Data Protection Board of India.
Cookies
The app uses one sign-in cookie and stores small preferences on your phone (for example, the last box you used). This website sets no cookies. Pages load the Inter font from Google Fonts.
Children
WhatsWhere is not directed at children under 18. Families can use it together under a parent’s account.
Changes
If we change how we handle data, we will update this page and its date, and tell Space owners in the app before significant changes take effect.
